The problem · the answer

Five things a coordinator does by hand

Today With Calendaty

Booking one kickoff costs twenty messages — four people, four calendars, three timezones.

A collective service: everyone assigned must be free, and all of them get booked.

The same account manager takes every inbound call, because they answer fastest.

Round-robin spreads the rota evenly, on its own.

Two shoots, one cyclorama, the same Thursday — and nobody notices until Wednesday night.

The studio is a location; a taken space offers no slots.

Everyone shares their own scheduler and the client ends up looking at five brands.

One URL per team, per member, per service.

Leads sit in a form inbox until someone reads them on Monday; the good ones booked a competitor on Friday.

Every inbound conversation is scored as it happens.

The limits

What Calendaty doesn't do

  • No project or resource planning.

No capacity, no utilization, no timesheets — it books people, spaces and calendars.

  • No multi-day blocks.

A three-day shoot goes in as a slot on each of the three days.

  • No packages or retainers.

A paid service is charged in full, one booking at a time.

  • No outbound prospecting.

The agent answers, qualifies, scores and books — inbound only.

  • No SMS.

Client reminders are email; team alerts go to Telegram, Slack or a webhook. The agent itself works in web chat.

A day in the workflow

One Monday, nine to six

  1. Four bookings landed overnight in the agency Slack channel — two discovery calls, round-robined, so nobody starts Monday with five and nobody with none.

  2. The Leads tab flags one hot conversation: a prospect who named a $40k budget and a Q3 deadline to the agent at 22:00.

  3. A client books the collective Project kickoff — the strategist, the designer and the PM all had to be free, and all three are on the invite.

  4. A paid shoot goes into Studio A, offered only because the space was free, and the payment clears at booking.

  5. The client tries to move that shoot twelve hours out; the change-lock refuses, and the producer moves it by hand instead.

  6. The admin assistant answers in Slack: 11 discovery calls, 4 kickoffs, 3 paid studio days.

FAQ

Questions

Can a client book the whole team at once?

Yes — Collective meetings, on Pro. Every assigned member has to be free, and all of them are booked.

Can we distribute inbound calls fairly?

Round-robin routing, on Growth, spreads bookings across every available member automatically.

Can we book rooms and studios, not just people?

Model each space as a location and tie the service to it. A service only offers slots where its space is free.

Does everyone have to share a personal link?

No. Teams and services get their own URLs — /team/growth, /discovery-call — so the client sees one brand, not five schedulers.

Can we book a three-day shoot as one block?

Not as one booking. Long productions go in as a slot on each day, or the location is blocked out day by day.
