The problem · the answer

Five things that cost you an hour

Today With Calendaty

The schedule lives in your phone, and every change reaches people at a different time.

One booking page, per studio, coach and session type.

A client cancels at 06:45 for a 07:00 and nobody can take the slot that fast.

A change-lock window, set per session type.

07:00 and 18:00 are full every day, and 13:00 is empty every day.

Availability blocks that sell the early and evening hours only.

You train first and invoice later, and some people take three weeks.

The card clears at booking, before the slot is held.

Two coaches, one squat rack, one slot — and nobody notices until both clients arrive.

A session is only offered where its space is free.

The limits

What Calendaty doesn't do

  • No group-class capacity.

One appointment in one slot — if group classes are your business, this is the wrong tool.

  • No memberships, packs or credits.

Sessions are booked and paid one at a time.

  • No standing weekly sessions.

The 07:00 Monday regular rebooks, or you create the sessions from the dashboard.

  • No SMS.

Client reminders are email; alerts to you go to Telegram, Slack or a webhook.

A day in the workflow

One weekday, first session to last

  1. Telegram already shows a booking that landed at 23:10 — the agent took it, and it's paid.

  2. The day by coach: seven sessions, and the same 13:00 gap as every day this month.

  3. The 07:00 client tries to cancel; inside the twelve-hour lock, the booking page refuses.

  4. An ACL-rehab question arrives on the site, and the agent books an assessment, not a PT session.

  5. The dead hour goes on Transactions: five cards cleared, two marked cash, none outstanding.

  6. The follow-up email goes out on its own, with the next-booking link.

FAQ

Questions

How do I stop last-minute cancellations killing my peak hours?

Set the change-lock window per session type. Inside it, clients can't move or cancel from the booking page — you still can, from the dashboard.

Can I run group classes with a 12-person cap?

No — there's no attendee capacity or waitlist. A class can be blocked out as a single booked slot, but Calendaty won't count or cap who's in it. If group classes are your business, this is the wrong tool.

Can I sell a 10-session pack?

Not as a package or a credit balance. Sessions are booked and paid individually.

Can returning clients always get the same coach?

Yes — Selective routing on Pro. For new clients, round-robin on Growth spreads them across the team.

Do you send SMS reminders?

No. Reminders and follow-ups are email; booking alerts to you go to Telegram, Slack or a webhook.
