The problem · the answer

Five ways a clinic day comes apart

Today With Calendaty

A patient books “a dental appointment” and arrives for an implant consult with the hygienist.

A service names who may perform it. Nobody else appears.

The phone is the booking system: one line, one person, and every call is “when's your next free slot?”

A booking page that answers it, and an agent that answers the rest.

Two practitioners, one chair, the same three o'clock — discovered when both walk in.

Rooms are locations. A service only runs where it fits.

A 90-minute procedure cancelled the same morning is a hole you can't fill.

Lead time and a change-lock, set per procedure.

Why the patient is coming lives in someone's memory until they sit down.

Intake fields arrive with the booking, not at the desk.

The limits

What Calendaty doesn't do

  • Not an EMR or EHR.

Clinical notes stay in your medical software — this is scheduling, intake and payment.

  • No treatment-plan series.

A course of six physio sessions is six individual bookings.

  • No deposits.

Fees are charged in full at booking, or marked pay-at-clinic.

  • No SMS.

Patient reminders are email. Staff alerts go to Telegram, Slack or a webhook.

  • No waitlist or capacity.

One appointment per slot, and a cancellation doesn't offer itself to the next person.

A day in the workflow

One Tuesday, open to close

  1. 34 appointments across 4 practitioners and 3 rooms. Two were booked overnight.

  2. A call comes in anyway. Create appointment takes it, and refuses a slot Dr. Amir has blocked externally.

  3. A new patient asks about wisdom teeth. The agent explains, then books the consultation — not the surgery.

  4. Someone tries to move tomorrow's two-hour procedure. Inside the 24-hour lock, the booking page won't.

  5. The 14:00 arrives already labelled: referred by Dr. Nassar, insured, chipped upper-left molar.

  6. Transactions: consult fees collected online, pay-at-clinic procedures reconciled against the till.

FAQ

Questions

Can I stop patients booking the wrong procedure with the wrong doctor?

Yes. Each service lists the practitioners allowed to perform it, and unqualified staff never appear as an option.

Can I schedule by room instead of by person?

Model rooms as locations and tie each service to the rooms it can run in. Staff assignment and room availability are then both respected.

Is Calendaty HIPAA-compliant?

It is not sold as a clinical records system, and clinical data should stay in your EMR. Calendaty handles scheduling, intake, reminders and payment. Talk to sales about your compliance and DPA requirements on Enterprise.

Can I stop last-minute cancellations?

Set the change-lock window per service. Patients can't move or cancel from the booking page inside it; your front desk still can.

Can I book a course of six sessions at once?

Not as a series. Each session is an individual appointment — booked by the patient, or created by your front desk from the dashboard.
